How many attendees are expected at the event?

It is anticipated that between 5000 and 7500 community attendees will pass through the event over the 12 hour period.

Question 2

Are there booth fees for the vendors?

Accepted Answer

Yes. There are 2 categories:

Category 1 - Food Truck Vendors: The booth fee is $750 for a standard spot. For a designated premium spot, the fee is $1000.

Category 2 - Non-Truck Food Vendors and all retail vendors: The booth fee is $350 for a standard spot (10’x10’) and $475 for a designated premium spot.

For both categories, premium spots are based on location and proximity to foot traffic. The size of the spot is the same as a standard spot. The committee is currently finalizing the vendor layout. That will be provided to each accepted vendor so they can select the location they wish. The layout will contain the associated booth fee/lot.

What are the payment options for the booth fee?

Booth Fee Payment Policy
Payment of the Booth Fee is not required for prospective vendors to submit an interest form. Once vendors have been properly vetted and approved by the planning committee, a link to the payment site will be provided.

There are two payment options available for vendors:

Option 1: Paid in Full
The booth fee may be paid in full within fifteen (15) days of receiving approval from the planning committee. A ten percent (10%) discount will be applied if the full fee is paid within the first seven (7) days of committee acceptance.

Option 2: Installment Plan
The booth fee may be paid in two (2) installments leading up to the event.
 • The first installment is due within fifteen (15) days of receiving approval.
 • The second and final installment is due no later than forty five (45) days prior to the event.

Failure to submit payment in full or according to the installment schedule within the prescribed timeframes may result in the planning committee rescinding approval and offering the opportunity to other prospective vendors.

All booth fees are non negotiable and non refundable.

Does the festival require certain business licensing or insurance?

Vendor Compliance Requirements

Vendors are expected to comply with all applicable Federal, State, and Local guidelines, requirements, and ordinances in order to participate in this event.

This includes, but is not limited to, possession of a valid health inspection certificate. A copy is required for any food vendor offering items that are not prepackaged. Vendors must also provide a valid Certificate of Insurance and maintain active registration with the State Corporation Commission, among other required documentation.

Once a vendor is accepted, a detailed list of all required compliance items and documentation will be provided.

How are vendors selected to participate in the festival?

Vendor Application and Approval Process
All vendors must submit an interest form located on the SR&R Festival website. After submission, the planning committee will contact vendors to verify the accuracy of the information provided.
Once verified, vendors will receive a more detailed questionnaire that must be completed and submitted along with all required ancillary documentation. Please refer to the FAQ section above for specific requirements.

Upon receipt, the committee will review all submitted materials to ensure completeness and confirm that all documentation remains valid through the date of the festival. Approved vendors will then be placed into a pool of fully vetted candidates eligible for selection for the event.

The committee recognizes that certain documentation may not be available far in advance of the event. For those documents only, a note will be placed in the vendor file indicating the expected date of submission. It is the sole responsibility of the vendor to provide all outstanding documentation by the specified deadline. Failure to do so may result in the vendor’s approval being rescinded and the reserved space offered to another prospective vendor.

Do food vendors need a food truck to be considered?

Food Vendor Eligibility

Any food service vendor may be considered, provided they are able to adequately serve anticipated event attendees for the full duration of the agreed upon service time.

Vendors seeking to operate using a tent or table should note that a separate lot rental fee applies. Please refer to the FAQ section above for additional details.

What is the expected food service for vendors?

Food Vendor Menu and Service Requirements

All food vendors are expected to provide a pre printed menu listing all items available for purchase during the event. Vendors are not permitted to change or update pricing during the event.
The menu must clearly display all offerings, including any combination meals and prices for individual items sold à la carte, if applicable.

Additionally, food vendors must submit a brief plan outlining their approach to restocking and replenishment throughout the event. This ensures the committee has confidence that vendors are prepared to provide consistent service for the full duration of the festival.

Are there other food-service opportunities outside the general food trucks?

Additional Food Service Opportunities
Yes. There are two additional food service opportunities available for this event beyond general food truck participation.

Suite Catering Opportunity
Attendees may reserve private suites located on the second level of the stadium to enjoy the day’s events. Catering is included as part of the suite package.

Food vendors interested in this opportunity will be given flexibility regarding menu offerings. However, menu options must remain consistent across all suites. Prior to the event, at a time to be determined, suite attendees will select their food choices in advance to allow vendors sufficient time for preparation and day of delivery.

Additional details regarding this opportunity will be provided only to food vendors who express interest. Vendors selected for suite catering are subject to the same Federal, State, and Local regulatory requirements as all other food service vendors.

Sun Porch Catering Opportunity
A second catering opportunity is available for one or both sun porches, also located on the second level of the stadium. As of January 25, 2026, the large sun porch is planned to host a plated dinner service. Additional details regarding scope, timing, and service expectations will be provided as plans are finalized.

What is the vendor selection timeline?

Vendor Interest Timeline and Availability

The website is currently open for all vendors to submit an initial interest form. Submission of initial interest will close on March 15, 2026.

After this date, vendors may continue to submit interest forms but will be automatically placed on the waitlist. Vendors on the waitlist will be contacted regarding their status. Following initial outreach, additional information will be requested only as space becomes available.

Once all vendor spots have been filled, an announcement will be posted on the website and the vendor interest submission button will be disabled.
